Schengen visa refusals: the 7 most common reasons and how to avoid them

What the reason codes in a refusal letter mean and what to do in the next application.

A Schengen visa refusal is one of the most common complaints from applicants. The boxes ticked on a refusal letter are often written in language that is hard to follow. Below we summarise the seven most frequent reasons and how to prevent them.

1. Purpose and conditions of stay not sufficiently proven

This is the most common reason. The consulate expects a documented answer to "why this country, why these dates, why this length". An itinerary, cancellable reservations and an employer leave letter support this.

2. Insufficient means of subsistence

An inadequate bank balance or an unclear source of funds is the second major reason. Schengen states expect you to show roughly €50-100 of daily spending and accommodation costs per person.

3. Intention to return not convincing

When ties such as job, family, property and education look weak, the consulate doubts the intention to return. An employer letter, title deed or vehicle licence and children's school certificates strengthen these ties.

4. Missing travel health insurance

Insurance with at least €30,000 cover valid across the whole area is mandatory for a Schengen visa. The duration, dates and scope must match the application exactly.

5. Inconsistent information and documents

Differences in dates, occupation, income or address between the form and the documents cause a serious loss of trust. Use a checklist when entering each new document into the form.

6. Earlier visa violations

Exceeding the 90-day limit on an earlier Schengen trip or failing to comply with visa conditions is a direct reason for refusal in the next application.

7. Passport problems

Insufficient validity, a lack of blank pages or damage prevents the application from being processed.

What to do after a refusal

Read the refusal letter carefully, resolve the reason and do not rush to reapply. In most cases a strengthened new application within two to three months gives a faster result than an appeal. Our refusal analysis service supports this decision in writing.

A sample scenario and its solution

A freelance software developer had 180,000 TRY deposited in the account in the last month and the refusal reason was failure to prove means of subsistence. The source of the deposit was documented with invoices and contracts, account activity was kept regular for three months, and the tax plate and returns were added to the file. On reapplication the visa came through within 10 working days. This example shows that a refusal often stems from an incompletely told file.

Refusal prevention checklist

  • Do the occupation and income on the form exactly match the documents?
  • Do the insurance dates fully cover the travel dates?
  • Are the names on reservations written as in the passport?
  • Is the bank statement no older than 30 days?
  • Can the invitation and hotel documents be verified?
